We are a fast-paced PR agency known for delivering measurable results for our clients. We’re seeking a highly organized and proactive Team Assistant to support our PR Director and leadership team. If you thrive in a dynamic environment and love making a quantifiable impact, we want to meet you!

Key Responsibilities

  • Lock in all PR projects with clear projections on time lines and deliverables.

  • Coordinate logistics for a minimum of 4 client meetings, internal team meetings, or events per week, ensuring all materials are prepared 24 hours in advance.

  • Track and follow up on at least 90% of action items from clients meetings within a business day.

  • Prepare and distribute weekly status reports and meeting summaries to the team, with 100% on-time delivery.

  • Assist in the preparation of at least 3 client presentations or proposals per month, ensuring accuracy and brand alignment.

  • Maintain and update project management tools daily, ensuring all tasks and deadlines are current for the PR team.

  • Process and reconcile expense reports within 3 business days of receipt, maintaining 100% accuracy.

  • Handle monthly reporting and prepare forecast on monthly, quarterly and yearly basis

  • Shadow PR Assistant and Sales Representative roles as needed,

  • Support onboarding for new team members, ensuring all required documentation and access are completed within 48 hours.

  • Handle confidential information with discretion and professionalism at all times.

Requirements

  • Bachelor’s degree in Communications, Business Administration, or a related field.

  • Minimum 2 years of experience in an administrative or team support role (agency experience preferred).

  • Proven ability to manage multiple priorities and meet deadlines (please provide quantifiable examples).

  • Excellent written and verbal communication skills.

  • Proficiency with Microsoft Office, Google Workspace, and project management tools (e.g., Asana, Trello).

  • Strong attention to detail and organizational skills.

  • Positive, can-do attitude and a proactive approach to problem-solving.

  • Expect the workload to increase over time.
