Personal assistant to the ceo (Expat) In Moscow

Position: Personal Assistant
Duration: Dull employment with 3 months trial period
Location: Moscow, with possible travels in Russia and abroad.
Working hours: Full time.
RESPONSIBILITIES:
Main tasks:
• Assisting to CEO in his daily activities. (Business, Administrative and private with a 24/7 support).
• Professional translation (written and oral EN-RU)
• Schedules Management (booking, calling, meetings, visits, events, leisures, including online).
• Managing the administrative and private staff of the Principal;
• Tasks and deadlines coordination.
• Travel, Transport and Migration management and support.
• Reporting (Tasks, Deadlines, Expenses for the Personal Assistant and for the other direct CEO’s employees).
• Identification and management of providers/resources.
• Controlling document flow (Mail, email, invoices, additional documents).
• Preparation of reports, letters, presentations;
• Collecting, sorting and reporting analytical research/data.
• Proof-reading and formatting documents and reports.
• Transmission (Sending/Collection) of the documents and receivables.
Executive support & Advanced functions:
• Project management: Dispatching tasks and monitoring their implementation till delivery with live feed reporting.
• Internal communication in the company. (Employees, Management)
• External communication for the company (Partners, suppliers, clients, Authorities)
• Cooperation with the board of directors, and Group and clients legal entities and teams.
Education: Higher. Russian – native, English (Fluent).
Experience: Work experience as personal assistant to a Principal or in administrative/support functions for at least 3-5 years. Previous experience in a Western environment is a plus. Ability to work in multi-cultural environment.
Skills: Managing time and priorities, communication skills: oral and written speech, with ability to quickly and clearly formulate an idea; PC proficiency (Microsoft Windows, Office 365, with advanced level in Word, PowerPoint and particularly in Excel); Ability to handle multiple tasks with consistency and efficiency. Stress resistance, energy, attentiveness, diligence, proactivity; Presentable appearance (businesslike), knowledge and ability to adopt the rules of business etiquette; Skills in analytical work and work with a large amount of information; Having a diploma in translation or linguist will be a plus.
FRAMEWORK:
Conditions: Registration according to the Labor Code of the Russian Federation
Place of work : Moscow ; with possible flights in Region or abroad
Timeframe: Reachable by phone anytime. Presence in office or in meetings anytime from 9am-7pm. Nonstandard working hours including 28+3 days of holidays per year
